Create batch - Using an existing mail merge letter /continuous PDF

Mail merge letters resp. continuous PDFs can easily be sent via Pingen as batches. General information on batches can be found here

Using the batch feature, mail merge letters resp. continuous PDFs can be automatically split into individual letters by Pingen. Pingen supports mail merge letters resp. continuous PDFs with up to 10,000 pages (or 2,000 pages when using user-defined separators) and offers the following split options:

  • Separation after a specified number of pages
  • Separation according to a Swiss QR-Invoice
  • Separation according to a custom separator

The batch feature for mail merge letters resp. continuous PDFs starts automatically as soon as a PDF with more than 20 pages is moved into the Pingen App via drag & drop.

Mail merge letters with less than 20 pages cannot be split into individual letters via the Pingen App.

The mail merge letter resp. continuous PDF can simply be dragged & dropped into the browser window or selected by clicking on Send New Letters in the bottom left corner.

After transfer, you must first select whether it is a continuous PDF (which is to be split) or a single letter:

Single letter (do not select):

This option is designed to tell Pingen that the uploaded document is not a mail merge letter resp. continuous PDF. If the option "Single Letter" is selected, all pages of the PDF will be treated as one letter (i.e. to be sent in the same envelope). The PDF is then directly available for processing in the Letters list and no batch is created.

Continuous PDF:

To create a batch and send a mail merge letter resp. continuous PDF, the option "Continuous PDF" must be selected.

If the option "Continuous PDF" is selected, the following split options become available:

Split options

Specified number of pages
‍With this option, the PDF file is automatically split after the specified number of pages. For example, a PDF with 1000 pages can be automatically separated after every 2nd page into 500 individual letters.

Swiss QR Invoice
‍With this option the PDF is automatically split after each page with a Swiss QR-Invoice. This way, continuous PDFs with invoices, can be automatically split into individual letters after each QR invoice.

Custom separator
‍With this option, the PDF is automatically split according to a user-defined separator. The separator can be a character like $ but also a character string like *#* or even text passages like With kind regards. As soon as Pingen recognises the custom separator, the subsequent page automatically starts the next letter.

The dialogue for creating the batch appears as soon as a split option has been selected and "Next" has been clicked:

Click on the icon to select a batch icon. The batch name is automatically pre-filled from the file name and can be modified if necessary.

The address window is used to indicate whether the recipient's address is located on the left or right side of the PDFs.

Click on Create Batch to start the batch creation:
