Apply Presets to letters

In Pingen, recurring letter actions can be saved in Presets. This way, documents that do not comply with the requirements of Pingen can be prepared for sending quickly and easily.

Presets can be applied to uploaded letters or added for integrations. Find out how to create Presets here

Important: When applying a Preset to a letter, only the actions that are actually required for the letter are applied. For example, if the "Fix Restricted Areas" action is activated in the Preset, but the letter does not have any issues with restricted areas, this action will not be applied.

Presets are always applied to the original PDF. Any corrections made or previously applied presets will be overwritten.

Options for using presets

Pingen offers various options for applying Presets:

  • Document Preview
  • Send Preparation
  • Letters-List
  • Batches
  • Integrations (automated)
  • API (automated)

Via the Document Preview

You can access the document preview by opening a letter in the "Letters" navigation item or by uploading a single PDF.

The Preset option is only available in the document preview if the letter has the status "Action Required" and at least one Preset exists in the Organisation.

Click on the "Fix & Send Letter" button to open the drop-up menu and select "Fix with Preset".

 

The sidebar will then open where you can select the desired Preset. You will see an overview of the Preset's enabled actions and the corresponding potential surcharges. You can find more information on the pricing model for Presets here

Click on the "Apply Preset" button to apply all the actions required to fix the document.

Via the Send Preparation

You can access the Send Preparation by uploading several PDFs or selecting several letters in the "Letters" navigation item and clicking on the send icon.

The Preset option is only available in the Send Preparation if at least one letter has the status "Action Required" and at least one Preset exists in the corresponding Organisation.

Click on the "Fix with Preset" button in the orange-coloured box on the right-hand side of the sidebar.

The sidebar will then open where you can select the desired Preset. You will see an overview of the Preset's enabled actions and the corresponding potential surcharges. You can find more information about the pricing model for Presets here

Use the "Apply Preset" button to apply all actions that are required to fix the respective documents.

Via the Letters-List

You can access the letters list via the "Letters" navigation item.

Select letters with the status "Action Required" and click on the Preset icon at the bottom.

Presets can only be applied via the letters list if at least one Preset is available in the corresponding Organisation and if only letters with the status "Action Required" are selected.

The sidebar will then open where you can select the desired Preset. You will see an overview of the Preset's enabled actions and the corresponding potential surcharges. You can find more information about the pricing model for Presets here

Use the "Apply Preset" button to apply all actions that are required to fix the respective documents.

Via Batches 

There are two ways to apply a Preset to a batch:

Option 1: When creating a Batch

You can create a batch by uploading a continuous PDF with more than 20 pages or a ZIP file.

When creating batches, the Preset option is only available if at least one preset exists in the corresponding Organisation.

 The dialog for creating a batch then opens and you can select the desired Preset. You will see an overview of the Preset's enabled actions and the corresponding potential surcharges. You can find more information about the pricing model for Presets here

By clicking the "Create Batch" button, all actions required to fix the respective documents are automatically applied.

Option 2: Using the batch details

You can access the batch details by opening an existing batch in the "Batches" navigation item.

In the batch details, the Preset option is only available if at least one letter has the status "Action Required" and at least one Preset exists in the corresponding Organisation.

Click on the "Fix with Preset" button in the orange "Action Required" message box.

The sidebar will then open where you can select the relevant Preset. You will see an overview of the Preset's enabled actions and the corresponding potential surcharges. You can find more information on the pricing model for Presets here

Use the "Apply Preset" button to apply all actions that are required to fix the respective documents.

Via Integrations

Presets can be added in the Integration settings. To do this, navigate to "Organisation Administration" --> "Integrations" and either edit an existing integration using the pencil icon or create a new Integration.

The Preset option is only available In the integration settings, if at least one Preset exists in the corresponding Organisation.

Select the relevant Preset from the drop-down menu. You will then receive an overview of the Preset's enabled actions and the corresponding surcharges. You can find more information on the pricing model for Presets here

For PDFs that are transferred via this integration in the future, all actions of the Preset that are required to fix the respective document are automatically applied.

Why can I not use a Preset

 

In case a Preset cannot be selected, it is because the Preset is in "Draft" status. 

To resolve the issue, go to the Preset overview and open the relevant Preset. You can access the Preset overview via the navigation item "Organisation Administration" --> "Presets".

In the overview, all enabled actions are highlighted in green. Enable all required actions (highlighted in orange) and finalize the preset. The preset now has the status "Available" and can be applied to letters.
