Pages in Invalid Paper Format

Only documents that are in A4 portrait format (210 × 297 mm) can be sent via Pingen. However, documents often deviate from this because they contain pages in A4 landscape format (297x210mm) or were created in a different format such as US letter (215x279mm).

If a document contains pages in a different paper format, it receives the status ”Action required”. The paper format of the corresponding pages can be adjusted manually in the Pingen WebApp or automatically via Presets.

Identify the problem

You can easily see whether pages are not in A4 portrait format by opening the document in the Pingen WebApp:

For example, this document contains pages in US letter format. Therefore, this document cannot be submitted directly for sending.

Fix the problem in the Pingen WebApp

For the document to be accepted for sending, all pages that are not in A4 portrait format must be converted. In the Pingen WebApp, several documents can be fixed at once or each document individually.

The conversion varies depending on the original format:

From portrait format to A4 portrait format: The page is proportionally scaled from the top left until one edge reaches A4 portrait format. White space will be inserted on the right or bottom.

From landscape format to A4 portrait format: The page is first rotated and then proportionally scaled from the top left until one edge reaches A4 portrait format. White space is inserted on the right or bottom.

Convert to A4 portrait format – Fix a single document

When uploading a single letter or clicking on a single letter in the 'Letters' list, you may encounter the issue “Pages in invalid paper format.” Pages with an incorrect format are highlighted in red. Click the “Fix & Send Letter” button to adjust the format and proceed with sending.

Convert to A4 portrait format - Fix multiple documents at once

In the send preparation, you have the option of fixing all documents with the “Pages in invalid paper format” issue at once. You can access the Send Preparation by either uploading documents or selecting multiple documents in the Letters list and clicking on “Send”. In the “Action required” tab, you will find the documents with the remark “Pages in invalid paper format”. Use the "Convert to A4 portrait" action via the icon on the right and all selected documents will be converted.

Alternatively, you can also convert pages in invalid paper format to A4 portrait individually. Click on the corresponding document to switch to preview mode. The pages with an invalid paper format are highlighted in red. In the preview, click on the “Convert to A4 portrait” button to convert the pages to A4 portrait format.

Convert to A4 portrait format – Automatically via Presets

Presets can be used to automatically convert pages in different paper formats to A4 portrait format. Presets are an ideal way to fully automate problem solving, especially when sending letters via integrations. Learn more about Presets
