Cancel eBill delivery
Until a certain point in the process, you can cancel an eBill delivery via the Pingen WebApp.
Until when can a delivery be cancelled?
A document can be cancelled as long as it is in one of the following statuses:
- Waiting for Credits
- Submitted for Sending
- Processing
Once a document reaches the status "Sent", cancellation is no longer possible. An overview of all possible statuses can be found here
Cancel a delivery — how it works
Single document
To cancel a single document, select the corresponding document under the "eBill" menu item and click the "Cancel Sending" icon below the selection list.
Documents that were sent as part of a Batch currently cannot be cancelled individually. At the moment, only the delivery of the entire Batch can be cancelled.
Coming soon: In the future, individual documents within a Batch can also be cancelled separately.

In the next step, confirm that you really want to cancel the delivery.

Pingen will then check whether the delivery of the selected document can still be cancelled. This process may take a moment. Once the check has been completed, you will be notified. If the cancellation was successful, the document receives the status "Cancelled".
Batch
As long as a batch is in the status "Processing" or "Batch Requires Credits", the "Cancel Sending" function is available in the Batch overview. An overview of all possible statuses can be found here
Only the entire Batch can be cancelled. Individual documents within a Batch currently cannot be cancelled separately.
To cancel a Batch, open the desired Batch under the "Batch" menu item and click the "Cancel Sending" icon.

Then confirm the cancellation of the entire Batch.

Pingen will then check whether the documents within the Batch can still be cancelled. This process may take a moment.
Option 1: The entire Batch was cancelled successfully

All documents in the Batch were still in a cancellable status and were successfully canceled. The batch is assigned the status “Canceled.”
If required, the cancelled Batch can later be submitted again for sending through the Batch overview, for example with modified send settings.
Option 2: The Batch was partially cancelled

Some documents could still be cancelled, while others had already progressed further in processing and could therefore no longer be cancelled.
In this case, the original Batch containing the non-cancellable documents remains unchanged, and a new batch is created for the successfully cancelled documents with the status "Cancelled".
Processing of the non-cancelled documents continues as normal.
The cancelled Batch can be submitted again for delivery if required.
Option 3: The entire Batch could no longer be cancelled

If the check determines that none of the documents can still be cancelled, you will receive a notification and processing will continue unchanged.
Refunds for cancelled documents

For successfully cancelled documents, Pingen issues a credit refund for the delivery costs. The refund is credited within a few minutes in the form of credits. Via "Organisation Administration" → "Billing", you can view purchases, usage, refunds, and your current credit balance.
